By using the Website, you acknowledge the practices described in this Policy.
1. Information We Collect
Information you provide to us
We collect information you choose to provide when you submit a form on our Website, request a quote, call us, email us, text with our team, apply for a job, or otherwise communicate with us. This may include:

- Correspondence and any other information you include in forms, emails, phone calls, or text conversations with our team
Multi-step quote forms
Some of our quote forms collect information in stages. When you complete and submit the first step, we save your contact details and may follow up about your inquiry, even if you do not complete the remaining steps. Completing later steps provides additional project information and any files you choose to upload.
Information collected automatically
When you visit the Website, we and our service providers automatically collect certain technical and activity information, such as your IP address, browser and device information, pages viewed, referral sources, advertising identifiers, and interactions with forms and other Website features. We collect this information using cookies, tags, and similar technologies, as described in Section 5. The information collected varies by tool and its configuration.
Information from phone calls
We use a call tracking service on certain landing pages to understand which marketing channels lead visitors to contact us. When you call a tracked phone number, we may collect your phone number, the date, time, and duration of the call, and the web page or campaign that led to the call. We also use a business phone system for calls with our team. Calls made through our call tracking and business phone systems may be recorded for quality, training, and record-keeping purposes.
Information from other sources
We may obtain business contact information, such as name, company, job title, business email address, and business phone number, from publicly available sources, business data providers, industry events, and business partners. We use this information to identify and contact businesses and professionals who may be interested in our products and services.

5. Cookies, Analytics, and Advertising
Cookies are small files stored by your browser. We and our service providers use cookies and similar technologies to operate the Website, analyze traffic, measure and deliver advertising, and connect inquiries with their source. Cookies may remain for a browsing session or longer, depending on the tool and your browser settings. The tools we use include:
- Google Analytics and Google Tag Manager, to understand how visitors find and use the Website and to manage tracking tags. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. The add-on applies to Google Analytics only and does not stop all website tracking.
- Google Ads, to measure advertising effectiveness, including actions such as submitting an inquiry, and to show our ads to people who have visited the Website (remarketing). You can manage Google ad personalization in Google My Ad Center.
- CallRail, to attribute phone calls to website visits and marketing sources and to record calls.
- HubSpot, to manage contacts, forms, and email communications, and to understand how visitors who have contacted us interact with the Website and our emails.
- WPForms, Jetpack, and OptinMonster, to operate Website forms, collect site statistics, and display Website messages.
- Wordfence, to protect the Website from security threats, which involves processing visitor IP addresses.
To learn how Google collects and uses data from sites that use its services, visit How Google uses information from sites or apps that use our services. You can also learn about opting out of interest-based advertising from participating companies at the Network Advertising Initiative.
You can use your browser settings to block or delete cookies. If you do, some Website features and measurement may not work properly. Our Website does not currently provide a cookie preferences banner.
6. Email Communications
We may send you emails about our products, services, projects, and company news. Our emails may include technology that tells us whether an email was opened and which links were clicked, which helps us improve our communications.
You can stop receiving marketing emails at any time by clicking the “unsubscribe” link in the footer of any marketing email or by emailing info@criticalcoordination.com. We may still send you messages needed to fulfill an existing order or respond to your request.
7. Links to Other Websites
The Website may link to websites or services operated by others. Their privacy practices are governed by their own notices, and we encourage you to review those notices before providing information.
8. Data Retention
We do not currently have a fixed deletion schedule for lead records, customer records, correspondence, or uploaded project files, so these records may be retained indefinitely, subject to applicable law and any valid deletion request. Retention within individual service providers, including analytics and call tracking systems, may differ according to their settings and practices.
9. Data Security and Processing Locations
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, or disclosure. The Website uses SSL/TLS encryption to protect information submitted through it. No method of internet transmission or electronic storage is completely secure, so we cannot guarantee absolute security.
Please do not include payment card details, Social Security numbers, or other sensitive personal information in quote forms or project uploads.
We operate in the United States. Our service providers may process information in the United States or other locations where they operate, which may have different data protection laws. If a security incident involving your personal information occurs, we will investigate promptly and provide notice as required by applicable law.
10. Your Choices and Rights
You may request to access, correct, or delete the personal information we hold about you, or ask us to stop sales follow-up or marketing communications. Depending on where you live, you may have additional rights under applicable privacy laws.
To make a request, email info@criticalcoordination.com with the subject line “Privacy Request.” We may need to verify your identity before responding. We will not discriminate against you for exercising your privacy rights.
